Refund Policy

Effective Date: September 23, 2026
Last Updated: September 23, 2026

Digital Studios 360 (“DS360,” “we,” “us,” or “our”) provides customized professional, digital, technology, consulting, and implementation services. Because our services involve dedicated professional time, project planning, research, design, development, consulting, and third-party resources, refunds are subject to the terms outlined below.

1. Project Deposits

Unless otherwise stated in a proposal, invoice, Statement of Work (SOW), or service agreement, deposits and initial payments made to begin a project are non-refundable once work has commenced.

This is because DS360 allocates resources, reserves project capacity, conducts discovery and planning, and may begin research, design, configuration, development, or other project activities upon receiving payment.

If DS360 has not started work and the client requests cancellation, DS360 may, at its discretion and subject to any costs already incurred, approve a full or partial refund.

2. Project-Based Services

For services including, but not limited to:

  • Website design and development

  • Website modernization

  • SEO services

  • CRM implementation

  • AI and automation implementation

  • Technology stack audits

  • AI and technology consulting

  • Systems integration

  • Digital marketing projects

  • Custom workflows and automation

  • Other customized professional services

Payments for work already completed are non-refundable.

If a project is cancelled before completion, the client will be responsible for payment for all work completed and any non-refundable third-party costs incurred through the cancellation date.

If payments made exceed the value of work completed and applicable expenses, DS360 may refund the remaining balance, subject to the applicable project agreement.

3. Consulting, Audits & Workshops

Payments for completed consulting sessions, technology audits, strategy sessions, assessments, workshops, training sessions, and similar professional services are non-refundable once the service has been delivered.

For scheduled consulting sessions or workshops, clients should provide at least 48 hours' notice to cancel or reschedule.

Cancellations made with sufficient notice may be rescheduled or refunded at DS360's discretion, depending on the applicable agreement.

Cancellations with less than 48 hours' notice or failure to attend a scheduled session may result in forfeiture of the applicable payment.

4. Recurring & Monthly Services

For recurring services such as SEO, website maintenance, digital marketing, consulting, CRM support, automation support, or other monthly services, fees already charged for the current service period are generally non-refundable once work for that period has begun.

Clients may cancel future recurring services according to the cancellation requirements contained in their applicable service agreement.

Cancellation stops future billing after the applicable cancellation period but does not automatically create a refund for services already performed.

5. Third-Party Costs

Payments made or committed to third parties on behalf of a client are non-refundable once incurred unless the applicable third-party provider issues a refund.

Examples may include:

  • Domain registrations

  • Website hosting

  • Software subscriptions

  • Plugins and applications

  • CRM subscriptions

  • AI or automation platforms

  • Stock images or licensed assets

  • Advertising expenditures

  • API usage

  • Email or marketing platforms

  • Other third-party products or services

DS360 is not responsible for the refund policies of third-party providers.

6. Client Delays or Abandoned Projects

Refunds will generally not be provided when a project is delayed, suspended, or cannot be completed because the client fails to provide required content, information, credentials, approvals, feedback, or other reasonably requested materials.

Projects that remain inactive due to client inactivity for an extended period may be considered suspended or abandoned according to the applicable project agreement.

Additional fees may apply to restart an inactive project.

7. Dissatisfaction With Services

We want clients to raise concerns as early as possible during an engagement.

If you are dissatisfied with a service or deliverable, please contact DS360 so we can review the issue and determine whether revisions, corrections, additional support, or another reasonable resolution is appropriate under the agreed project scope.

Dissatisfaction with subjective matters such as design preferences, anticipated business performance, SEO rankings, lead volume, sales results, AI-generated outputs, or third-party platform performance does not automatically qualify a project for a refund.

8. DS360 Cancellation

If DS360 cancels a project and is unable to provide contracted services for reasons attributable to DS360, the client may be eligible for a refund of amounts paid for services that have not yet been performed.

Any completed work, approved deliverables, third-party expenses, and other non-recoverable costs may be deducted before a refund is calculated.

9. Refund Processing

Approved refunds will generally be returned using the original payment method where reasonably possible.

Processing times may vary depending on the payment processor, financial institution, and payment method.

Any payment-processing fees that are non-refundable to DS360 may, where permitted by applicable law and the applicable agreement, be deducted from the refund amount.

10. Chargebacks & Payment Disputes

Clients are encouraged to contact DS360 directly regarding billing concerns before initiating a payment dispute or chargeback.

We will make reasonable efforts to investigate legitimate billing issues and resolve them promptly.

Initiating a chargeback does not eliminate amounts legitimately owed under an applicable service agreement, proposal, invoice, or Statement of Work.

11. Project-Specific Agreements

Certain projects may have refund, cancellation, milestone, or payment terms that differ from this general policy.

When a signed service agreement, Statement of Work, proposal, or other written agreement contains project-specific refund or cancellation terms, those terms will control for that engagement to the extent they conflict with this general policy.

Refund Policy - the basics

Having said that, a Refund Policy is a legally binding document that is meant to establish the legal relations between you and your customers regarding how and if you will provide them with a refund. Online businesses selling products are sometimes required (depending on local laws and regulations) to present their product return policy and refund policy. In some jurisdictions, this is needed in order to comply with consumer protection laws. It may also help you avoid legal claims from customers that are not satisfied with the products they purchased.

What to include in the Refund Policy

Generally speaking, a Refund Policy often addresses these types of issues: the timeframe for asking for a refund; will the refund be full or partial; under which conditions will the customer receive a refund; and much much more.
